My time-off calendar year doesn't begin in January. Can the system handle a different yearly start date?
Yes. Your time-off calendar year can start from any date you specify. To change your calendar year, simply login into Timeoffmanager as an administrator, and from the menu, go to Account -> Account Options

Does Timeoffmanager supports Banked/Comp. Time?
Yes. Once enabled, users will be able to submit Banked Time requests, which once approved, can be transfered into any time-off type balance. To enable Banked Time, simply login into Timeoffmanager as an administrator, and from the menu, go to Account -> Account Options

What is the difference between a user's time-off Allowance and Balance?
Time-off allowance is the maximum number of hours users are allowed to book in a calendar year, for each time-off types. Allowances are mainly used at the end of a calendar year in order for Timeoffmanager to know what to set the users' new balance to when the new calendar year starts. Time-off balance is the number of hours users have available for each of their assigned time-off types, until the end of the current calendar year. Each time-off types assigned to a User can be have different allowance and balance.

How can employees/managers see their current allowance/balance?
To view their current allowance/balance, employees and managers need to login into Timeoffmanager, and from the menu, go to My Summary.

Can I pick different colors for each user categories (departments) so I can differentiate time-off requests on the calendar?
Definitely! To assign different colors to each user categories, simply login into Timeoffmanager as an administrator, and from the menu, go to Settings -> User Categories

How flexible is Timeoffmanager in terms of adding my own custom time-off types?
Timeoffmanager can support all your custom time-off types. You can add as many time-off types as you'd like. We understand that all companies have different needs in terms of time-off types, so we built the system fully flexible to support this.

What are time-off reminders, and what are they used for?
Time-off reminders are simply used to notify certain peoples in advance when certains users have scheduled time-off. As an example, when a certain user is scheduled to have a day off, you can email his manager x days in advance.

Can I restrict users from requesting time-off on certain dates?
Yes you can do this by adding Special Event days. To add Special Event days, simply log into Timeoffmanager as an administrator, and from the menu, go to Settings -> Special Event Dates

Can I display all allowance/balance in days or in hours?
Absolutely. You have the option to display all balances, allowances and time-off lengths in hours or in days.

How does the balance accruals works?
Balance accruals can be setup differently for each users. For each users, for each of their assigned time-off types, you can schedule accruals to run daily, weekly, every x month, every 2 weeks or semi-monthly.

What other options are available for balance accruals?
In addition to having different accrual intervals, you also have the option to accrue balance by hours, days or a percentage. You also have the option for the accruals to run indefinitely, until allowance is full, or until a certain date.

Can the calendar be colorized in different ways?

Can your solution handle prorated balance additions?
Yes - You can setup prorated balance settings, and assign them to all newly created users. For instance, if you are in the middle of your calendar year, by default, the system can be setup to assign a prorated balance of 50% to all new users.

Can we setup time-off policies?
Yes - you can create time-off policies, assign time-off types to them, and for each time-off types, you can setup accruals and auto-renewal options. When new users are created, you can use a time-off policies to automatically create all the settings associated with a policy.

Absolutely - You can set your users to automatically accrue by x hrs/days at every certain interval. Balance accruals can be set to accrue every day, week, 2 weeks, twice a month, monthly, or every x months.

The default calendar view is the monthly view, but there is also a weekly and daily view.

Yes - We have a Bulk User Update tool which enables you to mass update certain user profile information, as well as their time-off type settings.

What are "Non-Deductible" time-off types mainly used for?
Non-Deductible time-off types are mainly used to track certain reasons why your staff is not in the office, without necessarily assign them with a certain number of hours/allowance to deduct from. Examples of non-deductible time-off type could be Appointments, Working-out-of-Office, Travelling.

What are Length of Service Accruals, and what are they used for?
Length of Service Accruals (LoS) are automatic accruals that occurs once users reach a certain number of months/years of service within your company. For instance, an example would be to setup a LoS to increase your users' vacation/pto allowance by an extra week after they reach 3 years of service within your company. Length of Service Accruals uses the users' hired date to calculate their months/years of service.

Is there a way to import via CSV all of the settings for a user (accrual interval, accrual rate, length of service accruals, etc.)?
Currently, the CSV upload feature only accepts basic information for each user. The way to go about it is to create time-off policies (which will contain all these settings), and then simply apply the policies to the different users after they've been created in the system. All settings from the policies will be copied over to the users.

What are the benefits of the "Paid Holiday" feature?
Paid Holidays are used for a few things. 1) To inform your staff about all paid holidays, by displaying them in their calendar. 2) When users are going to submit multi-day requests (i.e. an entire week off), the system will automatically check for paid holidays within that week, and will skip from submitting a time-off request for these days.

What are "Special Event Days" and how are these typically used?
Special Event Days are mainly used to simply display events on the calendar, for all your staff to see. For example, if you have a Staff Party, Golf tournament, etc, you can put them on the calendar. Special event days can also be used to prevent users from making time-off requests on a specific day.

Can you describe the relationship between the time-off policies and the length of service accruals?
There are two options: You create your policies and length of service accruals separately, and initially apply them to all your users. Then in the future, your length of service accruals will run and increase your users' allowance (and balance if setup accordingly), at specific anniversaries. Or, you can set a Time Off Policy to be assigned on a specific month of service using the Policy Change option.

What are time-off policies, and what are they used for?
Time-Off Policies are templates which contains a group of time-off types, each with their individual settings. Once policies are created, all time-off types within them can then be copied onto selected users.
